Al Ain Hospital is a highly specialised acute care and emergency hospital with 412 beds, over 200 doctors and 30 medical departments and divisions had no dictation system in place and was looking for a system to improve the delivery and transcription of medical notes and reports for the Health Information Management Department.

The existing process at the hospital was for the medical reports to be hand written by the physicians, unfortunately this meant that they were very difficult to transcribe due to illegibility. The knock on effect of this was that quality of the transcribed report suffered and time consuming corrections had to be made by both the physicians and the transcriptionists alike.

After a vigorous selection process, the WinScribe digital dictation system was selected as the most suitable and flexible solution by the hospital. Dictations are created by the doctor in an outlook style user interface, they are then sent across the Local Area Network, Wide Area Network or across the internet as electronic files to a central WinScribe Server.

The system is being used by over 200 doctors who are being supported by a team of 8 Transcriptionists in the Health Information Management Department. Besides integration with Dialogic system, CCMENA utilised the Philips SpeechMike pro and Philips DPM 9600 portable Digital Recorders.

Results

The implementation of the WinScribe system made a dramatic improvement to the turnaround time of the physicians' reports and the quality of transcribed reports. The Transcriptionists lives are much easier as the problem of illegibility of the handwritten notes has gone. The physicians prefer to dictate their reports rather than creating the handwritten ones and they are much happier with the typed reports that they are receiving back.
