Responding to a more stringent climate of corporate governance and regulatory scrutiny, FileNet Corporation (NASDAQ: FILE), a leading provider of Enterprise Content Management (ECM) solutions, announces the availability of FileNet Records Manager, a new records management suite that is designed to offer comprehensive lifecycle management of records from creation to disposition.
FileNet's Records Manager is based on a single, integrated, highly scalable repository and is designed to solve regulatory compliance challenges and manage risk by helping organizations to organize, securely store and quickly retrieve essential company records; automatically enforce records management policies; reduce organizational risk, lower operational costs and improve productivity; comply with records retention policies; ensure expired records are destroyed in a legally acceptable manner; and reduce discovery and storage costs.
It also offers reporting and auditing tools to enable organizations to meet any number of regulatory reporting requirements. Last, it is designed to automate and streamline an organization's records-base procedures and reduces unnecessary end user participation in the processing of records.
"FileNet Records Manager is designed as a tightly integrated solution within the FileNet P8 architecture, allowing companies the ability to leverage content and process management capabilities across their enterprise to enable a much more comprehensive approach to managing records," said Carlo Stellati, Vice President FileNet, South Europe, Middle East and Africa. "Our records management solution assists in mitigating risks and implementing complex rules and processes without reengineering. We believe, it's the only solution that automates the entire records management lifecycle process, invisibly enforces compliance and records management policies throughout an enterprise, and delivers a tangible return on investment."
Recent high-profile corporate malfeasance, new legislation and Securities & Exchange Commission oversight have pushed records management and compliance into the forefront of corporate strategy. The market for records management is set to grow to US$ 1.1 billion by 2006, according to analyst firm Forrester Research.
The new solution from FileNet is designed to help organizations meet newly introduced or updated government and industry regulations as well as the explosive growth in the volume of electronic records resulting from the widespread use of electronic content including the Internet and email. The FileNet Records Manager suite addresses issues of complying with reporting provisions of the Sarbanes-Oxley Act and is designed to meet the U.S. Department of Defence's 5015.2 records management standards requirement, as well as the UK's National Archives 2002 revised functional requirements.
The new FileNet suite was honoured as "Best Records Management Solution" by AIIM E-DOC Magazine at the AIIM 2004 Conference held last March, the world's largest conference focused on ECM and is hosted by AIIM (Association of Information and Image Management) the industry's leading authority on the topic.
"I can predict a big interest for the new FileNet suite, from all market sectors," commented Hilal Arnaoot, Managing Director, EBLA. "Both private institutions seeking to comply with specific industry' regulations, and Public Institutions that, in the continuation of their eGovernment investments, are careful about the management of public records, can achieve increased benefits from this integrated approach to managing company' content. With a lot of customers, especially in the public sector across all Gulf countries, we, together with FileNet, offer almost 20 years of experience in handling one of the company' most relevant assets - its content."
Sigma-Tau, one of the largest pharmaceutical groups in Italy was among the first companies to select FileNet's Records Manager Suite to help manage the content lifecycle for its entire product line of more than 40 different drugs. Sigma-Tau expects the solution to help them to quickly and accurately complete required documentation that complies with regulations issued by the Italian Ministry of Health, European regulatory authorities and the US Federal Drug Administration.
ECM Process Management: Critical for Records Management Enforcement
While many organizations are hard at work establishing records management policies and retention schedules, they are finding the greater challenge is getting employees to use the system. Business executives are taking charge and developing strong records management policies. But without systemic enforcement and process management capabilities, these organizations' entire records management program could be compromised.
FileNet believes that process management is an essential requirement for enforcing records management policies and procedures, because it enables the capture, declaration and classification of records in a way that can be transparent to the business user.
The key differentiator in FileNet Records Manager is its FileNet ZeroClick solution, which is designed to enforce records management policies at the technology layer, reducing user-related error, time and cost factors, and helping to ensure best-practice. Employees can easily use the technology because it is integrated in their daily work routines.
FileNet's Records Manager software suite is designed to provide a central file plan administration for both electronic and physical records, and automatic electronic records declaration and classification. By making use of FileNet's monitoring, reporting and analytics capabilities, Records Manager can provide organizations with the visibility required to understand when, how, why and where records are used within their business. This can enable companies to proactively optimize operations according to specific needs and adjust records retention policies and file plans to meet emerging regulatory requirements. It can also reduce time and costs associated with legal discovery processes by ensuring all records related to a specific business process or project are programmatically declared, classified and retained.
