Faster, easier and more convenient approval process for all invoices

Abu Dhabi, April 5 2008: The Abu Dhabi Department of Finance (DoF) has launched the Electronic Invoice Approval Workflow (EIAW) service that enables faster payment processing, efficient tracking of payment transactions, performance monitoring and electronic archival of invoices and supporting documents, apart from reduction in paper use.

The launch of the EIAW service comes in line with the new e-Government initiative and follows the directives of His Highness Sheikh Mohammed bin Khalifa Al Nahyan, Chairman, DoF, to adopt the latest technology for achieving a better work processes at the Department. Implemented under the personal supervision of His Excellency Mohammed Sultan Ghanoum Al Hameli, Undersecretary Assistant, DoF, the EIAW service is based on Oracle Account Payable and was initiated by DoF employees three months back. Rigorous testing of the system has been carried out since the system went live mid-February 2008.

Mr. Al Hameli said that the new system ensures faster processing of invoice approvals as it is driven by technology as against the previous paperwork-based system which was time-consuming. "This new initiative will help users reap the huge benefits provided by advanced technology".

He added: "DoF is committed to adopting state-of-the art- technology to enhance the work efficiency of the employees as well as to provide the public with faster and more convenient processes. This further strengthens the e-Government initiatives, which are in line with the strategic goals of the Abu Dhabi Government."

With the roll-out of EIAW, invoices will be recorded in Accounts Payable (AP) system by the relevant division. All supporting documents are scanned and electronically attached to the recorded invoice in the AP system. The invoice will be then initiated for an electronic workflow, which will follow a predefined authorization path. This covers all relevant approvals from the authorizers who will approve invoices in the system, based on the scanned images of the original document.

All relevant persons in the workflow will receive electronic notifications through Oracle and emails promptly. The original supporting documents for the payment, duly singed by the relevant authorizers, will be systematically archived at the internal accounts of DoF.
