Roads & Transport Authority - Manal Khalid: The Roads & Transport Authority (RTA) has recently received a visiting delegation from the Dubai International Financial Center (DIFC) to acquaint it with the business process and the best practices adopted by RTA's Administrative Services Dep't towards enhancing the business development and joint services, particularly as far as the electronic archiving of documents is concerned.
Ahlam Al-Feel, Director of RTA Administrative Services, commended the ongoing interaction with various community organizations towards improving the business processes and sharing expertise with a view to leveraging the business flow and realizing the best possible results. "Exchanging visits has a positive bearing on the business process as it pushes the performance to the highest excellence standards; which fits well with our drive to embrace the best means of conducting our business in a precise and smooth manner conforming to the highest applicable standards," added Ahlam.
"The main objective of the visit was to give the delegation an integrated view of the electronic archiving of documents, along with the procedures adopted in storing paper transactions in places that secure their quality for long years," she commented.
During the meeting with the DIFC delegation, a visual presentation was made focusing on how to handle documents via RTA's internal messaging system, which contributes to reducing outlays on paper, and illustrates the process of electronically archiving documents.
Afterwards, the delegation visited RTA Post Office where it reviewed the business processes in place starting from the receipt of correspondence from external clients including various entities and organizations in the UAE, and up to delivering them to the concerned recipients in RTA agencies and departments.
The delegation then headed towards the Archiving Center at RTA Head Office where it reviewed the latest technologies used in the electronic archiving of documents. It also familiarized itself with the documents archiving chart involving archiving of about 50,000 papers per day where the delegation attended to a thorough explanation about each archiving stage starting from the initiation phase and ending up with the storage in the Central Archive stage, in addition to a diverse cast of auditing processes within the documents flowchart.
At the end of the visit, the delegation of the DIFC expressed its delight with the visit and hailed the communication with the RTA with the aim of exchanging expertise, identifying joint business through reviewing the business scope of RTA's Archiving Center, and adopting best-in-class systems aligned with the world's highest standards.
